Wave Service Hours Policy

 

Purpose: 

WAVE Aquatics implement the Service Hours Policy to make management of team sponsored events and activities requiring member support less strenuous to manage, ensuring all members are contributing to the team success, and allow members the flexibility to choose how they want to contribute to the team.  

The purpose of the Service Hours Program is to fairly distribute the work necessary for a successful team operation and involve all parents in the team activities.  The Service Hours obligation is a requirement of membership and is consistent with the policy in other teams in Pacific Northwest Swimming.

 

Service Hours Obligation:  

The following outlines the Service Hours obligation for families:

  • Explore and Challenge Groups – Fifteen (15) hours an annual season, September through August.  The Service Hour obligation is prorated if a Family joins later in the season.  Details are provided under the Conditions Section below.
  • Achieve, Excel and High School Groups – Twenty (20) hours an annual season.  The Service Hour obligation is prorated if a Family joins later in the season.  Details are provided under the Conditions Section below.
  • Perform and High Performance Groups – Twenty-five (25) hours an annual season.

All returning members that complete on-line registration prior to July 26th, 2013 shall receive three (3) service hours credited to their Service Hours obligation. 

New members that register between August 8th-23rd shall receive three (3) service hours credited to their Service Hours obligation.

 

Service Hours Credits:

There are three (3) ways to earn Service Hours credits:

1.      Sign-up online for jobs that are necessary to run WAVE Aquatics sponsored swim meets. 

2.      Join the WAVE Aquatics Booster Board or perform one of the activities contributing to club operations and support. 

3.      A prior agreed purchases of team solicited items: see event emails and web pages for descriptions.  Members that request the value of these purchases be applied against their Service Hours obligation shall not be reimbursed for these expenditures.

Notes:

·         At WAVE Aquatics hosted meets, all families are responsible for signing up online prior to the meet; at the meet signing in prior to start of their session and signing out at the end of their session. 

·         Volunteer activities and positions are on a first-come, first-serve basis. 

·         The Volunteer Coordinator will log your Service Hour service. 

·         The Service Hours are based on the forecasted duration of the session activity.  Sometimes session activities will run longer or shorter than forecasted.  The Service Hours are not based on the actual time, but are based on the specified hour allotment on the sign-up sheet.

Conditions:

The following terms and conditions should be noted:

  • Each family will be informed of their Service Hours obligation upon registration with WAVE Aquatics.  It shall be each family’s responsibility to fulfill their Service Hours obligation.
  • It is required that members complete their Service Hours obligation by the end of the last meet of the ‘13-‘14 swim year (normally the first week of August, 2014).  Those that fail to fulfill their commitment will be invoiced for $20 per hour in August 2014.
  • Statements of the current Service Hours account available when you sign in the WAVE website.  After sign-in, go to ‘My Account’ (top left under sign in/sign out); ‘$My Invoice/Payment’; ‘Service Hours’ tab.
  • A final statement and Service Hours obligation billing, if necessary, will be sent to each family at the conclusion of their monthly membership or annual membership in July.
  • It is important to note that the IRS does not allow paid Service Hour obligation assessments to be considered as a tax deductible donation to WAVE Aquatics.
  • There shall be no banking or carryover of Service Hours, both excess worked or un-worked hours, from one annual season to the next annual season.  Members shall not be reimbursed for Service hours worked in excess of their obligation.
  • A multi-swimmer family’s Service Hours obligation requirement shall be based on the swimmer in the highest group.
  • A family Service Hour obligation will not change from the initial registration commitment shall the swimmer move up or down a group level tier in the season.  The change shall be recorded in the next annual season.
  • The majority of the required hours must be performed by the parents or guardians.  There are certain activities that are allowed to be performed by children fourteen (14) or older.  No children will be allowed to work any deck activities at a championship meet.
  • Registration will be denied to returning swimmer/family until Service Hours obligation assessments are paid in full.  Those families that register with an unpaid Service Hours obligation shall be given lowest priority on the swimming level waiting list until their obligation is paid.  Once their Service Hours obligation is paid, the swimmer will move up the list as positions in the level are filled with swimmers.
  • A Service Hours credit shall not be provided for timing or lap counting your swimmer on a distance event where swimmers are to provide their own timers and lap counters.
  • A Service Hours credit shall be provided for timing at non-sponsored WAVE Aquatics swim meets where WAVE Aquatics must provide timers for a lane(s).
  • Monthly members registering in September, October, or November would have the same volunteer obligation as annual members.  Their obligation shall be prorated if they leave WAVE Aquatics prior to July.
  • Monthly members registering in December, January or February would have a volunteer obligation equal to 2/3 of an annual member.  Their obligation shall be prorated if they leave WAVE Aquatics prior to July.
  • Monthly members registering in March, April or May would have a volunteer obligation equal to 1/3 of an annual member.  Their obligation shall be prorated if they leave WAVE Aquatics prior to July.
